Reservations and stay records

Hotel Reservation Management Software for the Booking Lifecycle

Reservation management is the stay record: who booked, which dates, which unit, and where the booking sits from reserved through checkout. O.S.S keeps that lifecycle on one booking—not a channel manager, and not a second copy of the reception-shift page.

What reservation management covers

From new booking to closed stay

  1. Create the reservation

Owners and reception add bookings with dates, guest details and room context. Walk-ins are created at the desk on the same record type.

  2. Assign the unit

The stay sits on the room calendar so staff can see which unit is held for those dates.

  3. Move the status

Bookings progress from booked through arrival details, check-in and checkout on the same stay—not a disconnected list.

  4. Connect the guest

The reservation links to a guest record so the desk can open history and stay details without re-typing the name.

  5. Direct booking page

When enabled, guests can reserve on a public booking page. Those reservations are pay-at-hotel. Online card capture is not claimed. Inbound OTA bookings via Channex, when the add-on is active, still require inbox preview and confirm—not automatic two-way sync.

Who works reservations

  • Reception

Creates walk-ins, updates dates and units, and checks guests in and out from the desk calendar.

  • Owner

Configures rooms and the public booking page, and reviews occupancy from owner reports.

Who it is for

  • Hotels that need a live stay book

Properties that create and update reservations in-house and want the calendar, guest and folio to share one booking.

  • Not a channel-manager replacement

Direct and desk bookings are in scope. Full OTA distribution and automatic Channex import are not claimed.

Start managing stays

Create a hotel account, add rooms and take the first reservation in the browser. The trial does not require a credit card. Front desk shift tools and the full PMS are separate pages.

Booking lifecycle, distinct from the desk shift

This page is the reservation record: dates, unit, status and guest link. The front desk page is arrivals, check-in handling and folio close during the shift. Hotel PMS is the connected workspace around both.

Dates, assignment and guest connection

Staff set stay dates, attach a room where the property assigns units, and keep the guest on the booking. Occupancy context feeds owner reporting; this is operational visibility, not a revenue-management suite.

Public booking and what is not included

A property-specific public booking page can collect direct reservations as pay-at-hotel. O.S.S does not replace a full channel manager. Channex, when enabled, is inbound inbox import after preview—not outbound ARI push and not automatic import of every OTA booking.

Frequently asked questions

How long does setup take?

Most hotels can create an account, add rooms and start managing daily operations in minutes. O.S.S offers a 14-day free trial with no credit card required.

Is O.S.S a cloud-based system?

Yes. O.S.S runs in the web browser on desktop, tablet and phone — no local server installation required.

Can reception manage reservations without owner access?

Yes. Role-based dashboards let reception handle daily reservation tasks while owners retain configuration and reporting access.

Does O.S.S replace an OTA channel manager?

No. Direct bookings, walk-ins and the public booking page work without a channel manager. Channex support is an optional inbound inbox workflow with UUID setup and room-type mapping—not automatic two-way rate and availability push.

Can guests pay online when they book?

Public booking reservations are pay-at-hotel. Online card capture on the booking engine is not claimed.

How is this different from hotel booking management software?

Both URLs exist today. This page is the commercial reservation-lifecycle target: stay records, dates, assignment and status. The booking-management URL is a related historical page and is not merged in this phase.
